Finqle Connect supports multiple users per company, each with a specific role. This article documents what each role can do and how to manage users.
TL;DR
- Five roles exist: Admin, Manager, Project Manager, Billing Request Approver and User.
- Only Admins can add, remove or change the role of other users.
- Give people the narrowest role that lets them do their job.
Roles and permissions
| Role | Can view | Can do |
|---|---|---|
| Admin | Everything | Full access: manage users, company profile, projects, contracts, templates, and approve Billing Requests |
| Manager | Projects, contracts, Billing Requests | Manage projects and contracts, approve or disapprove Billing Requests |
| Project Manager | Assigned projects only | Manage assigned projects and related Billing Requests |
| Billing Request Approver | Billing Requests only | Review and approve or disapprove Billing Requests, no project or contract access |
| User | Basic view access | View-only, cannot approve or edit |
Adding or removing users
- 1An Admin goes to the Users section in the portal.
- 2Click Add user, enter their email address and assign a role.
- 3Optionally link the user to specific projects (relevant for Project Manager and Billing Request Approver roles).
- 4The new user receives a magic-link invitation to log in.
To remove access, an Admin sets the user's status to disabled. Disabling a user does not delete their historical activity (approvals, comments) from the audit trail.
Changing a user's role
Admins can update a user's role at any time from the Users section. Changes take effect immediately on the user's next login.
FAQ
Can a company have more than one Admin?
Yes. We recommend at least two Admins so account management does not depend on a single person.
What happens if the only Admin leaves the company?
Contact Finqle support with proof of authorization, for example a KVK extract showing signing authority, so we can reassign the Admin role.
Can a User role be upgraded later?
Yes, any Admin can change a user's role at any time without needing to re-invite them.
