Onboarding & registration

I can't find my company

If you cannot find your company in the search results, there could be several reasons:

  1. 1
    Recently registered company: if your company was just registered, it might take a few days or even weeks for the information to become available in our search database. Our primary data source needs time to update its records.
  2. 2
    Search method: try different search terms. You can search by full company name, registration number, or partial name. The official name in the registry can differ slightly from the trading name you know.
  3. 3
    Regional differences: make sure the correct country code is selected. Companies are registered in specific countries and our search is country-specific.

If you still cannot find your company, contact our support team with your company details.

How do I get started with Finqle?

Your onboarding depends on how you work with Finqle.

Direct Finqle users: an Account Manager sends you an invitation email once an offer has been accepted by both sides. The email contains a link to our onboarding platform.

Platform or intermediary users: your intermediary or client invites you. You receive an email with a link to start onboarding.

In both cases you are asked to:

    Provide your company registration number (KVK), contact details and bank details
  2. 2
    Complete ID verification (passport or driver's license plus a selfie)
  3. 3
    Review and sign the required agreements

Tip: have your KVK number, VAT number, bank details and a valid ID ready before starting.

My VAT number is showing an error during onboarding
  • Make sure you use the correct format, for example NL123456789B01 for the Netherlands.
  • If you use a VAT-exempt scheme such as the KOR (Kleineondernemersregeling), you must indicate this during onboarding. Not doing so causes validation issues.
  • For Belgian merchants the VAT number format differs, so double-check your country-specific format.

If the issue persists, contact support with your company details and a screenshot of the error.

I use the KOR (small business scheme), what should I know?

If you are registered under the KOR or another VAT-exempt scheme, you must indicate this during onboarding. This ensures your invoices are generated correctly without VAT. If you forgot to set this during onboarding, contact info@finqle.com to update your settings.

Do I need to log in to My Finqle after onboarding?

In most cases no. After onboarding, your invoicing and payments are handled automatically. You can log in at my.finqle.com to view or download invoices, check your payment history, or review your account details. If you work via a platform or intermediary and do not have login credentials yet, contact info@finqle.com.


Payments & payouts

When will I get paid?

Timing depends on whether you invoice directly or via a Billing Request, and on Finqle's daily cut-off times. See the article When will I be paid? for the full breakdown and flowcharts.

What is Direct Payment (factoring)?

Direct Payment means Finqle pays you instantly, minus a factoring fee, and takes on the risk of the Debtor not paying. See Direct Payment & Factoring explained for the mechanics, fee formula and non-recourse details.

What happens if my debtor does not pay?

If you chose Direct Payment (factoring) you are fully protected. Finqle takes over the risk of non-payment (non-recourse factoring). You already received your money and we handle all follow-up and collection.

If you did not choose factoring, payment follows the standard payment terms agreed between you and your Debtor.

What fees does Finqle charge?

A factoring fee applies only if you choose Direct Payment, and it scales with your Debtor's payment term. See Costs & Fees for the formula and worked examples, including the platform variant.


Invoicing & Billing Requests

What is the difference between an invoice and a Billing Request?

An invoice is a final document you create or upload directly. A Billing Request is a pre-invoice that your Debtor must approve before Finqle converts it into an invoice. See Billing Requests and Invoices for the full distinction.

How do I create a Billing Request or invoice?

    Log in to My Finqle

    Go to Billing Requests or Invoices

    Select the relevant debtor or account and fill in the details (hours, line items, amounts)
  4. 4
    Review and submit

Your Debtor is notified and can approve (for Billing Requests), or Finqle verifies your invoice directly.

Can I upload my own invoice instead of creating one in Finqle?

This depends on your contract with Finqle. If your agreement supports it, you can upload a PDF invoice through the Merchant app instead of creating one in the platform. Finqle verifies the uploaded invoice before processing payment. If you are unsure, check with your Account Manager or contact info@finqle.com.

What is self-billing (reverse billing)?

Self-billing means your client generates the invoice on your behalf based on agreed rates and approved hours. You do not create the invoice yourself. This is common when working through platforms or intermediaries. You receive the invoice for your records and Finqle handles the payment.


Account & data changes

How do I change my personal or company details?

To update details such as IBAN, email address, VAT number or company address, submit a data change request through the platform or contact Finqle directly.

Email changes: you receive a confirmation email at your current address. Once confirmed, the change is processed.

Bank details (IBAN): for security reasons IBAN changes require verification. Contact info@finqle.com or call +31 (0) 85 3033 650.

How do I connect my bookkeeping software?

During onboarding you can provide your bookkeeping email addresses (purchase and sales). Finqle automatically sends invoices to those addresses so they are ingested by your bookkeeping software. If you forgot to set this up, contact us to add your bookkeeping email at any time.


Contracts & accounts

My contract has ended, can I still use Finqle?

If your contract with a Debtor has expired or been terminated, you cannot submit new invoices for that Debtor until a new contract is in place. Contact your Account Manager or intermediary to arrange an extension or renewal.

Can I work with multiple debtors?

Yes. You can have multiple accounts (debtors) in Finqle. Each debtor relationship has its own contract and project setup. You can view and manage all your accounts in the Merchant app.

What is a collective invoice?

A collective invoice is a bundled invoice that Finqle sends to your Debtor, combining multiple individual merchant invoices into one document. As a merchant, your individual invoices are still processed and paid out separately.
