Answers to the questions debtors ask most about the Finqle Debtor Portal, invoices, payments and factoring. If your answer is not here, contact our debtor support team.
Getting started
How do I log in to the Debtor Portal?
Go to my.finqle.com and enter the email address associated with your debtor account. You receive a magic link by email. Click the link to log in. No password is required.
I did not receive a magic link. What should I do?
Check your spam or junk folder first. If you still cannot find it, make sure you are using the email address registered with Finqle (contact email, accounts payable email or invoice email). If the issue persists, contact your vendor or Finqle support.
Who can access the Debtor Portal?
Anyone whose email address is associated with a debtor company in Finqle. This includes emails stored as contact email, accounts payable email, accounts receivable email or invoice email on your debtor contracts.
What is the difference between the Debtor Portal and Finqle Connect?
The Debtor Portal is the standard, pay-only way to view and pay invoices with just a known email address. Finqle Connect is the advanced, registered platform for managing projects, contracts, users and merchant onboarding yourself. See Frequently Asked Questions (FAQ) (Connect) if that is your setup.
Invoices and collective invoices
What types of invoices can I see in the portal?
Depending on your setup you may see:
- Individual invoices: invoices issued by a merchant (supplier) to your company.
- Collective invoices: bundled invoices that combine multiple individual invoices into a single document for easier processing and payment.
How do I download an invoice?
Open the invoice you want and click the download button. The invoice is downloaded as a PDF file.
What does the invoice status mean?
Invoices go through several statuses:
- Created: the invoice has been generated.
- Submitted: the invoice has been submitted for approval.
- Approved: the invoice has been approved and is awaiting payment.
- Disapproved: the invoice was rejected, with a reason.
- Open: the invoice is open and awaiting payment.
- Closed / Finalized: the invoice has been settled.
What is a collective invoice?
A collective invoice bundles multiple individual invoices from one or more merchants into a single invoice. Instead of paying each invoice separately, you pay one combined amount. Collective invoices are the primary invoices debtors receive from Finqle.
Why was my invoice disapproved?
A reason is always provided. Common reasons are incorrect amounts, missing information or discrepancies in the billing details. Review the reason and contact the issuing merchant or Finqle support if you need clarification.
Payments
How do I pay an invoice?
You can pay invoices directly from the portal. Select the invoices or collective invoices you want to pay and follow the payment flow. Payment is made by bank transfer to Finqle's account, referencing the invoice number.
What is the payment term?
The payment term varies per client and per project. It is always stated on the invoice itself and visible in the Finqle portal. Standard payment terms typically range from 14 to 30 days.
Can I pay multiple invoices at once?
Yes. You can select multiple collective invoices and create a single payment transaction for all of them.
What is Direct Payment?
Direct Payment allows invoices to be paid immediately upon approval, using available credit. This speeds up the payment cycle for merchants. As a debtor you may see invoices marked with Direct Payment. These have already been pre-financed by Finqle, and you pay Finqle according to the agreed payment term.
What happens if I pay late?
If payment is not received by the due date, Finqle's credit management team reaches out with a friendly reminder. Continued late payment may affect your credit status and can result in adjusted credit terms.
Billing Requests
What is a Billing Request?
A Billing Request is a submission from a merchant (supplier) for work performed or services delivered. It contains line items (hours, units or expenses) and needs to be reviewed and approved before it becomes an invoice.
How do I approve or disapprove a Billing Request?
Open the Billing Request from your dashboard or the Billing Requests list. Review the details (hours, amounts, line items) and click Approve or Disapprove. If you disapprove, you must provide a reason.
Can I edit a Billing Request?
As a debtor you cannot directly edit a Billing Request submitted by a merchant. If something is incorrect, disapprove it with a clear reason so the merchant can revise and resubmit.
What happens after I approve a Billing Request?
Once approved, the Billing Request enters the invoicing flow. It is converted into an invoice, or bundled into a collective invoice, and issued to you for payment.
Account, projects, contracts and merchant onboarding (Connect)
Managing company details, user roles, projects, contracts and merchant onboarding are Connect (Inkoopstroom) features. See Frequently Asked Questions (FAQ) (Connect) for those topics.
Finqle and factoring
What is Finqle?
Finqle is a Dutch fintech company that provides invoice financing (factoring) and debtor management solutions. When a merchant uses Finqle, their invoices are purchased by Finqle, which means you pay Finqle directly instead of the merchant.
Why am I paying Finqle instead of my supplier?
Your supplier has chosen to use Finqle's factoring service. The invoice has been assigned (gecedeerd) to Finqle. You can only make payment to Finqle's bank account as stated on the invoice. Payment directly to the supplier does not discharge your obligation.
Does using Finqle cost me anything as a debtor?
In most cases Finqle's factoring fees are charged to the merchant, not to you. There can be costs for debtors who use additional Finqle services such as reverse billing (where Finqle generates invoices on your behalf) or KYC services. If your organization uses these services, the fees are stated in your contract. For standard invoice payment only, your payment terms and invoice amounts remain unchanged.
Can I connect my own accounting or ERP system to Finqle?
Accounting and ERP integrations such as automatic UBL invoice delivery are available for merchants, not for debtors today. As a debtor you receive invoices and collective invoices through the portal and by email; there is no separate ERP sync on the debtor side. If this would help your organization, let your Account Manager know so we can factor it into our roadmap.
Do you buy invoices for debt collection?
No. Finqle only purchases new invoices to finance working capital. If you have outstanding unpaid invoices from a debtor who refuses or cannot pay, contact a debt collection agency or legal advisor. Invoices financed through Finqle are covered against non-payment.
Troubleshooting
The portal is not loading or shows an error. What should I do?
Refresh the page or clear your browser cache. If the issue persists, try a different browser. If problems continue, contact Finqle support at support@finqle.com or call 085-3033650.
I cannot see my invoices. Why?
You can only see invoices linked to your company and to the contracts associated with your email address. If you believe invoices are missing, check with your company's portal admin that your account is linked to the correct projects and merchants.
